What is tracked

Access via public link is counted as anonymous.

Recipients by company

When the document contains an Attendance block, recipients are grouped by company so you can check reading status group by group instead of scrolling a flat list.

Recipient statistics

When the document has been shared with several companies, two figures appear at the top of the tracking view: the number of recipient companies, and the share of them that have consulted the document (opened it, downloaded the PDF, or commented). Your own company is excluded from both figures.

Sending activity

Above the recipient list, the Sending activity section follows the lifecycle of every email sent for the document — preparing, sent, scheduled, or failed delivery — along with reminders and the automatic lock.
From this section, open a scheduled email to edit or cancel it before it goes out. Schedule and reminders

Proof of sending

Once an email is delivered, you receive a separate confirmation email — the proof of sending. It records the exact message that was sent: subject, sender, recipients, time of sending, a preview of the document, and a PDF copy.
Keep this email as a record of the send: it links back to this tracking view and includes a PDF copy of the document as it was at the time of sending.

Locking the document

In addition to the automatic lock that can be scheduled after sharing, the document can be locked manually at any time from the follow-up view. Click Lock, then confirm. Locking is permanent — once locked, the document can no longer be edited. Locking also creates a final version of the document and generates the proof PDF covering all recipient activity.

Proof PDF

Once the document is locked, a proof PDF is generated for audit purposes. Unlike the proof of sending, which covers a single email, it covers the activity of every recipient at once, and includes:
  • Each recipient’s status: opened, commented, downloaded the PDF, downloaded an appendix
  • Recipients grouped by company, when the document contains an Attendance block
  • A content hash of the document, to verify its integrity later

Identify non-readers

The view lists the status of each recipient. You can immediately spot those who have not yet opened the document.

Follow up manually

From the tracking view, you can individually follow up with a recipient who hasn’t read.
To automate follow-ups, configure automatic reminders in the share view. Schedule and reminders
