A snippet is a reusable piece of content: a clause, an instruction. Write it once, then insert a copy of it in any document.
This feature is available starting from the Team plan.
Examples:
  • the standard wording of a reservation in a site meeting report;
  • recurring safety instructions;
  • a deadline clause in two variants: 48 hours or 72 hours.

Create a snippet

From a document
  1. Select the content in the document.
  2. Choose Create snippet in the selection menu.
  3. Name the snippet. It is private: only you can see it until you share it.
From the library
  1. Click Library in the side menu.
  2. Click New, then New snippet.
  3. Write the content on the page. Changes are saved automatically.
The snippet is created in the tab you have open, with that audience.
Images are not supported in snippets for now. They are left out when you create a snippet from a selection.

Organise the library

Click New, then Create a folder. Folders can contain other folders. Drag a folder or a snippet to move it, or use its actions menu to rename or delete it. Deleting a snippet or a folder does not change the documents where it was already inserted.

Share snippets

The library has one tab per audience:
  • Only me
  • Everyone in the organization
  • one tab per team folder you belong to
To change the audience, open the actions menu of a snippet or folder and select Share with.
  • Sharing a folder shares everything it contains.
  • Sharing a snippet that is inside a folder moves it to the top level of the library.
  • Only its creator can make it private again.
A guest of a team folder sees only their own snippets and those of their team folders.

Variants

A variant is another version of the same snippet, for when the content changes slightly: a 48-hour or a 72-hour deadline, for example.
  1. Open the actions menu of the snippet and select Create a variant. It starts as a copy of the default variant.
  2. Change what differs and name the variant. An unnamed variant is called “Variant 2”, “Variant 3”, and so on.
The default variant is the one inserted when you choose the snippet itself. To change it, open the actions menu of another variant and select Set as default. Delete a variant from the same menu. The last variant of a snippet cannot be deleted. You can also create a variant from a document, see Inserted snippets.

Insert a snippet

  1. In an empty paragraph at the root of the document, type /. Snippets are listed after the blocks.
  2. Type a few letters of the snippet name.
  3. Select it with the arrow keys and press Enter.
Highlight a result to preview it in the document, under the cursor, before inserting it.
  • The search looks at snippet and folder names, not their content. Results come from all folders and show their folder path.
  • Without a search, browse the folders level by level.
  • To pick a variant, search for the snippet, then choose the variant in its submenu.
The snippet is inserted as an independent copy: edit it freely, the library does not change.

Inserted snippets

While you write, an inserted snippet is highlighted only when your cursor is in it. A frame highlights its content, and a bubble in the margin lets you manage it. Click the bubble to open its menu:
  • Variant: switch to another variant of the snippet.
  • Restore the original variant: drop your edits. Shown once you have edited the content.
  • Update the variant: save your edits in the library, in this variant. Shown once you have edited the content.
  • Create a variant from these changes: save your edits as a new variant. Shown once you have edited the content.
  • Detach: keep the content and remove the link to the snippet.

Snippets in templates

In a template, all snippets are always highlighted, so you can see how the template is built. When you create a document from a template, each snippet that has several variants is marked Snippet to review, with a colored frame. Choose the right variant, or select Confirm this variant in the bubble menu. Editing the content also confirms it.
