# Dates, reminders, mentions and labels

> Insert dates, reminders, labels and contact mentions directly in the text with @

Type `@` anywhere in a document to insert a date, a label, or a person or group mention directly in the text.

## New date

`@New date` opens a date picker and inserts the formatted date at the cursor position. Useful for dating an action, a deadline, or an observation without leaving the keyboard.

## Reminder

A reminder is used to track follow-ups and pending items across recurring documents. Each reminder carries a **reminder number** and a **date** — for example: *3rd Reminder – 14/03/26*.

The number and date can be updated automatically with each [next version](/features/document/create-next).

`@Reminder` inserts a new reminder at the cursor position.

## Labels

Labels are visual elements (text, color, optional icon) designed to highlight information within the body of a document.

### New label

`@New label` creates a label on the spot. Enter the text, choose a color, and add an icon if needed. Once created, a label can be copied and pasted like any other element in the document.

### Label lists

Lists let you define a set of reusable labels, useful for recurring values: priorities, construction phases, compliance levels, weather conditions.

`@` displays the lists available at the organization level, including several default lists (Colors, Compliance, Weather…). Each entry follows the same pattern: text, color, optional icon. Lists are managed in the organization settings.

## Contact and group mentions

`@` lets you mention a contact or group present in the document. The list is populated automatically from the attendees entered in the [attendance block](/features/document/blocks/attendance).

Mentions are purely visual: they highlight the name in the text without triggering a notification.

### Automatic short forms

When a name contains `|` separators, there automatically generates several display forms. You choose the one that fits the context.

**Firm:**
`Architect | LVG Architecture | LVG`
→ full form, or shortened to `LVG Architecture`, or to `LVG`

**Works package:**
`01 | VRD Earthworks | BTP du Plateau | PLA`
→ full form, or shortened to `BTP du Plateau`, or to the short name `PLA`

An icon can be added to each group to reinforce the visual identity of the document.
